Maestira
Team and rental settlements

Know what is owed, and why.

Every amount in a settlement opens back to the visit that produced it and the rule that was agreed. Calculated, approved and paid are three separate events, and a closed period stays as it was.

This page explains an operational calculation. It is not payroll, tax or accounting advice, and Maestira does not transfer money between you and your team or renters.

The rule

Start from what you agreed, with a date on it.

Each professional or renter has an agreement in the workspace: what kind of arrangement, what it applies to, from which date. Every settlement line shows the rule it used. A percentage is not a status: a managed professional and an independent renter can both be “on a percentage”, with different recipients of the client's money and different obligations.

  • Share of a defined amount, for a managed professional
  • Fixed amount per period, for a managed professional
  • Fixed rent per day, week or month, for a renter
  • Rent by time, from recorded hours or days, for a renter
  • Simple percentage of an agreed base, for a renter
  • Each with an effective date and a visible revision history

Worked examples

Three settlements and a late correction, with their assumptions next to the numbers.

Invented businesses and figures. The percentages, the materials treatment and the package rule are each example's configured assumptions, not defaults, legal rules or tax treatment.

  • Example 1 · A professional on a share
    Assumptions
Share 60%, on the recorded service price. Materials deducted before the share. No discount. Paid on site, so no provider fee.
    Visit
Color refresh + cut · €100 · paid on site, card · received by the salon
    Materials
    €10
    Calculation
    (€100 − €10) × 60% = €54 · calculated
    Then
Approved €54 at period close · paid €54, recorded
  • Example 2 · A renter on fixed rent per day
    Assumptions
Fixed €60 per day, Chair 2, standing reservation Thu and Fri.
    This period
    2 days → €120 accrued
    Paid
    €60 advance, recorded Mon
    Outstanding
    €60
  • Example 3 · A package, counted at delivery
    Assumptions
Package: 5 × massage 60 min, sold for €250. This business counts earnings at delivery, at €50 per session. Share 50%. No materials.
    Sold
At the desk, by the administrator · client's balance: 5 remaining
    Today
    One session delivered by Mira · €50 counted for Mira · 50% → €25 · calculated · client's balance: 4 remaining
    Not counted
Nothing for the seller at sale, under this rule. A different rule could count the sale instead; the agreement says which.
  • A late correction on Example 1
    Event
€20 refunded to the client after the period was approved and paid
    Open period
Correction line: Lea −€12 (€20 × 60%), linked to the original visit
    Closed period
    Unchanged: approved €54, paid €54
Every number above can be followed back to a visit or a reservation and a stated rule. Change the rule and the next period changes; the last one does not.
What the share applies to

What the percentage applies to is written down, not assumed.

The amount the share is calculated from is part of the rule. Is it the recorded service price? Is a discount taken off first? Are materials deducted before the share? Is a payment provider's fee deducted when the client paid online? Each of these is a stated choice in the agreement. The settlement shows the amount it used, so a line can be checked by anyone who can see it.

Adjustments

Three things that change the amount, each by rule.

Materials

Recorded at the visit, if you choose to track stock and materials. If the rule says so, they are deducted before the share; if not, they are shown but not deducted.

Discounts

A discount reduces the recorded price. The rule says whether the share is calculated on the discounted price or the list price.

Refunds

A refund reduces the amount of the visit it belongs to. If that visit's period is still open, the line changes. If the period is closed, the refund appears as a dated correction in the open period, linked to the original visit; the closed period is not rewritten.

Packages

When a package counts.

A package is paid once and delivered over several visits. The rule states which event counts for earnings: the sale, or each delivered session at its share of the package value. Each delivered session carries who performed it, so a package sold at the desk and delivered by two different professionals is calculated per session, by the rule, without anyone re-typing it. The client's consumed and remaining balance is shown at every visit either way.

Rent

Rent accrues per period, from the reservation and the terms.

Fixed rent

A set amount per day, week or month for a chair or a room, accrued whether or not the space was used.

Rent by time

A rate per hour or day applied to recorded use: standing reservations and one-off days alike.

Simple percentage

A share of an agreed base for the period. What the base is, and who records it, are part of the agreement.

Fixed, by time and simple percentage first; they can be combined per agreement. Tiered commissions, guaranteed minimums and special exceptions are not promised. Rooms, chairs and renters on the rental studio page.

Period close

Calculated, approved, paid. In that order, and not interchangeable.

  1. Review

Every line for the period, each opening to its visit or reservation and showing its rule. Exceptions are flagged: a client payment still outstanding, a visit without a recorded result, an imported opening balance still unverified. Unverified imported figures are never counted as earned work.

  2. Approve

The business confirms the period. From that moment its figures are fixed. The approved amount is what is owed; it can differ from the calculated amount only through a visible, dated adjustment you make before approving.

  3. Record the payout or the rent received

What was actually paid, when and how. The paid amount is recorded against the approved one; a difference stays visible as outstanding or credit.

After the fact

Corrections are dated and linked. Access follows the role.

Corrections

A refund, a changed rule or a found error after a period closed becomes a dated line in the open period, linked to what it corrects. A new rate applies from its own date. You can always see both the original and the correction; nothing in a closed period is silently recalculated.

Who sees what

The owner or operator sees every agreement and settlement in the business. Each professional can open their own lines and the rule behind them. A renter you invite sees their agreement, reservations and statements. Nobody sees another business's clients or history through a settlement.

Questions about the numbers

What happens when I change a rule?

The new rule gets an effective date and applies to work from that date. Periods already approved keep their figures. If you need the new rule to apply earlier within the open period, you set its date accordingly; nothing approved is recalculated.

What about a refund that arrives after the period is closed?

It becomes a dated correction in the open period, linked to the original visit, with its effect on the share shown as its own line. The closed period is not changed, and both are visible.

Can my staff see their own earnings?

Yes. Each professional can open their own lines and the rule behind them, each line opening to the visit. They do not see other professionals' lines or the business's agreements with others. A renter you invite sees their own agreement and statements.

Is the calculated amount what gets paid?

Not automatically. Calculated is what the rule produces from recorded work. Approved is what the business confirms for the period, after any visible adjustment. Paid is what was actually paid, recorded with its date. Maestira records all three; it does not transfer money, and the calculation does not determine employment status, payroll or VAT treatment.

We switched mid-period. What about earlier work?

Settlements are calculated from work recorded in Maestira. Figures from before the switch can be brought in as opening amounts, marked as such and kept apart from recorded work, so an unverified figure is never counted as earned. The first fully traceable period is the first one worked in Maestira.
