Three ways a booking can start, set per service.
A haircut can be booked directly. A big color change may need a request you confirm, or a consultation before the main appointment. You choose the mode for each service; the client sees only the mode that applies.
Direct booking
Service, duration and price are known. The client picks a time on your booking page, or you enter the appointment yourself from a call or a walk-in. The confirmation goes out by email, included.
Request you confirm
The client asks for a time and describes what they want. You confirm, propose another time or ask a question. It becomes an appointment when you say so.
Consultation first
The main service cannot be priced or timed without seeing the client. The booking page offers the consultation; the main appointment is created from it with the duration and price you agree.

One service needs a conversation first; the other is booked straight in. Both are in one list, with the mode each service was given.
Where your specialty differs
- Tattoo: the enquiry carries the project description, references and an estimate, then a deposit the client pays online where you have connected online payments, or you record when paid in person. tattoo page →
- Makeup: the request carries the event date and the location. makeup page →
- Nails: the client adds removal or a design and sees the time and price before confirming. nails page →
Enquiries that start in a chat are entered by you from the conversation. There is no automatic inbox integration; a booking link in your bio is the organized way in. See how to turn an enquiry into an appointment.
The right person, the right chair, the right amount of time.
A service takes a professional, sometimes a room or a device, and a duration that depends on what is being done. The calendar holds all three together, so an appointment is only offered where the person and the resource are both available.
- The client chooses a specific professional, or any available one, per your setting
- Duration varies by service, and can be adjusted per client
- Processing time is planned inside the appointment, not guessed
- Rooms, chairs and devices are resources: bookable, and never counted as professionals
- Several services, people or resources in one combined appointment
- A waitlist for a full day, and repeat bookings for regulars

What you need to know before she sits down.
A client's record holds her visits in this business, your notes, her preferences, the forms she filled and the photos linked to earlier visits. It is scoped to your business: a professional who also works somewhere else does not bring that history here, and does not take yours there.

Result, payment and what was used, in one step.
When the visit ends you record the result, how the client paid and what the visit consumed, in one sheet. Then it is in her history, and the settlement at the end of the period already knows about it.
The result
A short note and, if you want, a photo linked to this visit. Stored once, shown in her history. It is not published anywhere; a portfolio is a separate, deliberate action with its own permission.
The payment record
Amount, how she paid and who received it: the business or the professional, as the agreement says. A visit paid at the chair is recorded in one step. Collecting payment online is optional, and the provider's fee is the provider's. Maestira takes no commission on your bookings on either plan.
What it consumed
A session from a package, with the remaining balance shown. A step in a session plan or project. Materials, if you choose to track them.

- Earnings
- Lea's share will be calculated under her agreement; see Step 6
Four facts, one sheet. The payment is recorded as a payment, not as an online transaction, and the materials line will matter in Step 6.
Where your specialty differs
Book the next visit before she leaves. See what is still open.
A repeat booking is one step from the finished visit, with the same service and professional unless you change them. Confirmation and reminder go by email, included. What is not finished shows up in one list instead of in your head.
- Repeat booking: the next date is suggested; you adjust it with the client and confirm.
- Unfinished work: requests to answer, forms still missing, payments outstanding and other exceptions, in one list with a rule behind each line.
- Automation: confirmations and reminders by email are automatic and included. Other automation in Maestira is ordinary and rule-based, and it never decides for you. SMS and WhatsApp reminders use a separate balance with visible rates and no automatic top-up by default.

The next visit is booked while the chair is still warm. The three things that are not done are listed, not remembered.
Earnings and rent that can be traced back to the visit.
Every visit carries who did the work, who received the money and which agreement applies. At the end of a period, team earnings and rent are calculated from those facts, not typed from memory, and each line opens back to the visit it came from. Each professional can open their own lines and the rule behind them.
A professional on your team
The amount the share is calculated from, materials, discounts and refunds, then the agreed share or fixed amount, under the rule with its effective date.
An independent renter
Fixed rent, rent by time or a simple percentage of an agreed base. Accrued, paid and outstanding, period by period. The renter's own clients and payments are not part of this.
Three separate events
Calculated is what the rule produces. Approved is what you confirm for the period. Paid is what was actually paid, recorded in Maestira. A closed period is not recalculated when a rule changes later.

Lea's line is the visit from Step 4 with the rule applied. Marco's line is rent, nothing else: his clients never appear here. Assumptions shown are this studio's, not defaults.
How the base, materials, packages, rent, advances and corrections work, with worked examples: team and rental settlements.
Start with the work you already have. Leave with it, too.
Import your clients, services and upcoming appointments from a file or an export, match the columns, see every row that needs a decision, and open tomorrow's calendar with each client's history attached while your old tool keeps running. Package balances and deposits come in as opening balances you confirm; they are never mixed with verified history. The import sends nothing to your clients. You switch on a day you choose.
Export covers clients, appointments, visit history, notes, package and payment records, the photos and documents your business is allowed to keep, and the links between them. Not just a contact list.
Step by step, including what goes wrong and how it is shown: move your clients and bookings over.
Everything above works without AI. This is what AI adds.
Maestira AI is a separate plan. It adds help with specific tasks to the same workspace, using the same records and the same permissions. Three of them, on the example from this page:
A structured record from a rough note
“cool tone refreshed cut shoulder next time slightly warmer” becomes a result note in the fields you use, for you to confirm before it is saved.
A preparation summary before Elif's visit
Her last services, your notes, open items and what to ask, from her record in this business only.
A draft reply to Nora's enquiry
A proposed answer to the color-change request, based on your services and availability, with the consultation offered. You review and send; nothing goes out on its own.
AI works with your permissions and your business context, and meaningful changes wait for your confirmation. Usage terms for the AI plan are published before you can buy it. See full pricing.

Questions about the day-to-day
Can I enter a booking by hand?
Yes. A call, a walk-in or an appointment agreed in a chat is entered by you with the client, service, professional and time. It is the same appointment as one made on the booking page, with the same confirmation and reminder by email.
Can different services have different booking modes?
Yes. Each service is set to direct booking, a request you confirm, or a consultation first. A short service can be direct while a long or individual one needs a conversation; the client sees the mode that applies to what they chose.
What is the difference between a package and a session plan?
A package is something the client bought: a number of sessions or a value, with consumed and remaining shown at every visit. A session plan or project is related work over time, such as a tattoo in several sittings or a sequence of treatments, which does not have to be prepaid. One client can have both.
How do rooms, chairs and equipment work?
They are resources in the calendar. A service can require a room or a device, and an appointment is offered only where the professional and the resource are both available. Resources are part of the workspace and are not counted as professionals in the price.
Do I have to take payments online?
No. A payment made at the chair is recorded in one step, with the method and who received it. Online payment collection is optional; when you use it, the payment provider's fee applies.
Which of this needs the AI plan?
None of it. Booking modes, resources, history, finishing a visit, packages, unfinished-work lists, settlements, import and export are all in Maestira at €29 per month + VAT. Maestira AI adds tidy visit notes, short summaries before a visit, answers from your own records and draft replies, on a separate plan.
